*This project was developed for a major global technology company. Due to confidentiality agreements, the material has been adapted into a white-label format, preserving its essence, complexity, and impact while presenting it under a new visual identity for portfolio purposes.

1. Context &
Challenge

The central objective was to explore how Artificial Intelligence (AI) could support collaboration and alignment among global teams in a hybrid and remote environment. The mission was to propose a solution that would organize dispersed information and optimize communication.

 

The challenge lay in the decentralization of information, the excessive number of meetings, and the lack of clarity in communication processes. A major concern was also the lack of confidence and habit in using AI-based tools among collaborators.

Workers spend approximately 30% of their workday searching for information.

49% of workers reported having trouble locating documents.

One major pain point was the friction in communication between teams and individuals.

2. Process

The work was guided by qualitative research, desk research, and collaborative ideation.

My role: I acted as the Product Owner, articulating the group's efforts and organizing priorities. I was also actively involved in the interviews, desk research, and benchmarking.

Global Interviews

30 interviews with employees from different continents to map pain points and opportunities.

Desk Research and Benchmarking

Analysis of AI trends and market best practices.

Personas and Archetypes

Construction of detailed profiles based on interviews, supported by Jung's analytical psychology.

Co-creation and Prototyping

Group ideation sessions and development of high-fidelity screens to validate concepts.

Jungian Archetypes

We developed in-depth personas deeply rooted in the organizational context, using Carl Jung’s analytical psychology. We identified four main archetypes, focusing on two "extreme profiles" for the solution

3. Solution

The result was Nexus, a platform that centralizes information, provides quick access to relevant content, and uses AI to summarize materials, suggest tags, and create daily digests.

This frees up time for teams to concentrate on collaboration and innovation.

The structure of the solution is based on three main pillars:

1. Centralize information.

2. Offer more time to think and engage with your team and community.

3. Provide quick and easy access to what is relevant.

Provides a summarized, personalized digest of missed information and highlights (like collaboration invitations and sprint updates). This directly addresses the need for asynchronous communication and meeting optimization.

The AI system analyzes and summarizes information from company databases to provide the most relevant insights during searches. This feature ensures information clarity and fights document decentralization.

4. Strategic Takeaways

AI Adoption Requires Trust

The project confirmed that working with AI demands dealing with both enthusiasm and employee resistance.

 

Our solution had to explicitly state: "The suggestions on this page are generated by AI" and disclose that "All data displayed here is sourced from the company's databases" to build confidence and transparency.

Global Design Requires Rigor

Managing a global and multidisciplinary project required strong organization to overcome time zones, cultural differences, and technical terminology. The use of common archetypes was essential to ensure the solution met diverse psychological needs.

Collaborative Design is Key to Clarity

Collaborative design and co-creation sessions were essential to validate concepts and give clarity and pace to the project.
